SMTP: Utilizing your own server to send out emails - How to configure Google Workspace

In version 3.x of the Fortinet Security Awareness and Training Service platform, customers can configure an smtp account to send their training welcome, invitation, reminders, completion and completion emails. 


By default, the service will send emails from [email protected] 


For customers who utilize Google Workspace and wish to send emails from one of those email accounts, additional configuration is required by Google:  


There are a few steps to configure Google Workspace 2-Step Verification before configuring the SMTP settings in the service:  

1.) If not already enabled, you must log into the google admin console and enable 2-Step Verification for users: 



2.) If not already enabled, log in to the email account you have created that will send the emails and select Manage Account, then, enable 2-Step Verification: 



3.) Once you configure that, scroll down to the App passwords section and create an app password:

If the App passwords section does not display, refresh the screen (F5) or move to another menu item and then return to the page and the App passwords section should display


4.) Give the App a name and select Create:


5.) Copy the password provided and put it in a txt document: 


Security Awareness and Training Service Configuration: 


1.) Log in to the Fortinet Security Awareness and Training Service as the tenant administrator or a leaner / user with the Admin role permissions assigned.


2. ) Select Settings / Admin Settings and then select the Configure button in the SMTP settings section: 


3.) Configure the app: 


SMTP server address:  smtp.gmail.com

Encryption type and port number:  TLS / 587

SMTP Username:  Enter the email of the account you created in Google for sending emails from the service.

SMTP Password:  Paste the app password you generated in step 5 of the previous section.

Display email:  Enter the email address of the account you created in Google for sending emails from the service.

Display name: Enter the name you would like displayed on the emails

4.) Save the settings, then send a test email. The test email will go to the Tenant Admin account email (the email that you used to initialize the service and put in the license info).
